Dear Evoka App User,

Pursuant to EU Regulation 2016/679 (GDPR), we wish to provide you with the following information regarding the processing of personal data related to access and use of the Evoka Application via the access PIN provided by the event organizer. Evoka is a digital platform that allows event organizers to easily and securely collect and share multimedia content (photos and videos) uploaded directly by participants. By accessing the app using your personal PIN—provided by the event organizer—you can contribute to the event by uploading your own content, which will only be visible to other participants. Users acknowledge and accept that they may be photographed by other participants, and that their images may appear in the live feed. Users are fully responsible for any misuse of the App, including but not limited to unauthorized screenshots, external sharing of images, or uploading inappropriate content.

Key Terms

  • Data Controller: The person or entity that determines why and how your personal data is processed. In this context, the Data Controller of the uploaded content (e.g., photos and videos) is the event organizer who provided you with the access PIN and purchased a license to use the Evoka platform.
  • Data Processor: The party that processes data on behalf of the Controller, following their instructions. In this case, Evoka acts as the Data Processor on behalf of the organizer, managing the technical operation of the app and the temporary storage of content.
  • Data Processing: Any action performed on your data, including collection, storage, display, or deletion.

What Data We Process

  • Multimedia content (images and videos) that you upload;
  • Technical data (e.g., strictly necessary cookies, local storage) required for the app to function correctly.

Evoka does not perform profiling or behavioral tracking of users.

Why We Process Your Data

  • Allow you to upload multimedia content related to the event you’re attending;
  • Ensure the app functions properly;
  • Temporarily store the uploaded content.

Who Can View Your Content

  • Only participants with a valid event PIN can view shared content from that specific event;
  • Authorized Evoka staff may access the data strictly for the purposes outlined above (technical support, maintenance, etc.).

Where and How Long Your Data Is Stored

Content uploaded through the Application is stored only as long as necessary to fulfill the purposes for which it was collected. As the Data Processor, Evoka stores this content in accordance with the instructions provided by the Data Controller. Your Rights

You have the right to:

  • Access, rectify, or request the deletion of your personal data;
  • Request restriction of processing or object to the processing of your data in the cases provided for by law;
  • File a complaint with the Data Protection Authority.

Important Note

If you upload content featuring other individuals:

  • You must obtain their informed consent beforehand;
  • They must be made aware that their images will be visible to other participants;
  • It is strictly forbidden to upload content portraying individuals in ways that may harm their dignity, reputation, or decency.

If minors are portrayed, their images may only be uploaded with the prior consent of both parents or legal guardians. The event organizer may, at any time, directly remove or request the removal of content uploaded by participants. Evoka also reserves the right to block or delete content deemed inappropriate or in violation of platform rules.
